The Location feature in ExpertusONE LMS enables administrators to specify and manage details of physical venues where classroom-based classes (ILT) are conducted. Locations are mapped to classes and displayed to learners on the Training Details Page, both pre- and post-enrollment, providing critical information such as address, room details, and contact information.

Key Features of Location Management:

  • Define attributes like location name, building, room, capacity, equipment, and contact details.
  • Mapped locations are visible to learners on the Training Details Page for enrolled or prospective classes.
  • Locations can be in Draft, Published, or Unpublished states, with corresponding actions (e.g., publish, unpublish, delete).
  • Use the toggle menu or Quick Access to create, edit, or view locations.
  • Prevent unpublishing or deletion of locations attached to active or upcoming ILT classes.
  • Provides navigation options after creating, updating, or deleting locations.

To access the Location management interface:

1. Using the Toggle Menu Bar:

  • From the landing page or home page, click the toggle menu bar (typically represented by double chevron right icons).
  • Navigate to Menu→ Learning → Location → Create Location to open the Create Location Page.

2. Using Quick Access:

  • On the landing/home page, locate the Quick Access menu.

  • Hover over Location to display two options:
    • Create: Opens the Create Location Page.
    • Edit: Opens the Location Listing Page on the Published tab.

Create Location

The Create Location feature allows administrators to define new physical venues for ILT classes, specifying details such as address, capacity, and equipment.

  • Capture essential details like location name and address, with optional fields for additional specificity.
  • Add multiple pieces of equipment to describe the venue’s resources.
  • Restrict location visibility to specific domains.
  • Provides navigation options after creation.

How to Create a Location

1. Navigate to the Create Location Page via Learning→ Location → Create Location or Quick Access → Create.

2. Complete the mandatory fields:

  • Location Name
  • Address 1
  • Country
  • State/Province
  • City/Town
  • Zip Code
  • Time Zone
  • Domain

3. Optionally, fill in:

  • Building Name/Floor Name, Room Name, Capacity, Equipment, Latitude, Longitude, Contact Name, Contact Number, and Contact Email.

4. Add equipment by clicking Add Equipment and entering custom items as needed.

5. Choose an action:

  • Save as Draft: Saves the location in Draft mode, visible under the Drafts tab on the Location Listing Page.
  • Publish: Publishes the location, making it available for mapping to ILT classes, visible under the Published tab.

6. Upon saving or publishing, the admin is redirected to the Success Status Page with the message: “Location ‘[Title of the Location]’ has been published successfully” and a success icon.

7. On this page, the admin can see three options:

  • Create Location – It will navigate the admin to create another new location
  • Edit Location – It will allow the admins to make changes to the previously created location
  • Go To Listing – It will take the admins to the location listing page where all the locations are listed.

8. Clone icon – Clicking on the clone icon for any one of the listed locations will create a new copy of that location and open the create location page with the auto-filled fields of the cloned location. The title of the cloned location will have the same title as the location that is cloned, along with a word copy. The title format for the cloned location is mentioned below:

  • Further, the admin can edit the location, and then they can perform one of the following actions: discard/save as draft/publish.

Edit Location

The Edit Location functionality allows administrators to modify existing location details, with the same fields and restrictions as the Create Location process.

 1. Access: Available via the Edit Icon on the Location Listing Page across all tabs (Saved Draft, Published, Unpublished).

2. Full Edit Capability: Modify all location details, including mandatory and optional fields.

3. Status Retention: Updates do not change the location’s status (e.g., Draft, Published, Unpublished).

How to Edit a Location

  • Navigate to the Location Listing Page via Manage → Location or Quick Access → Edit.
  • Locate the location to edit on the Saved Draft, Published, or Unpublished tab.
  • Click the Edit Icon or the location name to open the Edit Location Page.
  • Modify fields as needed (e.g., Location Name, Address, Equipment, Contact Details).

  • Choose an action:
    • Save as Draft: Saves changes in Draft mode.
    • Publish: Publishes the updated location (if not already published).
    • Update: Saves changes while retaining the current status.
    • Discard: Cancels changes (see Discard section).
  • Upon updating or publishing, the admin is redirected to the Success Status Page with the message: “Location ‘[Title of the Location]’ has been updated successfully” or “Published successfully”.

Discard

1. This discard button will be visible on the edit page.

2. The discard button will be enabled only if the admin has entered the field value.

3. Clicking “Yes” will replace the new changes with the old values.

4. Clicking “Cancel” will remain on the same edit page with all the field values.

Update

1. This Update button is visible on all the edit pages. This button will be enabled only if the admin has updated a field value. If no changes have been made, the “Update” button will be disabled.

2. When the admin clicks on the Update button, the location details will only be updated after all the validation, and still, the location will be in the same status, i.e., published, unpublished, or Draft.

Publish

1. Admin can publish the location and make it ready for usage by simply clicking the publish button on the edit page.

2. The Publish button will be visible only in two places:

  • Publish Button on the edit page under the draft tab
  • Publish Button on the edit page under the unpublished tab

3. Once the location is published, the specific location will be visible in the published tab and can be mapped to any classroom for conducting courses.

Unpublish

1. Admin can unpublish the location by simply clicking the unpublish button on the edit page.

2. The Unpublish button will be visible in only one place

  • Unpublish Button on the edit page under the published tab

3. After the location is unpublished, the specific location will be visible in the unpublished tab.

Note: If the location is attached to a present or upcoming ILT class, the unpublish button will be disabled; the location can’t be unpublished.

Delete

1. An admin can delete the location by simply clicking the delete icon available on the edit page.

2. The delete icon will be visible in two places:

  • Delete icon on the edit page under the “Drafts” tab
  • Delete icon on the edit page under the “Unpublished” tab

3. Clicking on delete will open a popup to confirm the action. If the admin clicks on “Yes,” the location will be deleted, and clicking on ”No” will exit the popup without deleting the location.
